BOARD MEETING OCTOBER 16, 2019

Meeting called to order by president at 1:00 pm. All board members in attendance.
MAINTENANCE UPDATE: Mike Reports
1. Possible green algae found in water tank. Mike will consult with Paul Salvagin on best removal process as Paul has had experience with treatment
2. Golf cart and trailer in need of tire replacements. Mike checking costs of replacement tires
3. Need about 5 green irrigation covers which Mike will buy`
4. Recyclables not picked up last WEEK. Larry will contact company regarding issue
5. Tree in front yard of 1362 Eagle Way requires removal of small deposits on branches which could cause harm to health of tree
6. Mike will list driveways and sidewalks needing power wash
SECRETARIE’S REPORT
Report will be accepted after error on page 2 is corrected. Correction made and report completed and accepted
TREASURER’S REPORT
Linda’s report associated with Budget Committee Report and questions on the Brown and Brown Insurance Proposal
PRESIDENT’S REPORT
Larry appointed Joyce Morris as Vice President. Position was accepted by Joyce. Larry following up with several owners regarding volunteering for Fine Committee
DIRECTOR OF GROUNDS & UNIT REPORT
Dave reports weed problem at corner of Bunker Way seems to be resolving
without landscape intervention. Landscaper will monitor area and report back to
Dave. Appears no cost required for treatment for this problem. Violation letters
given to 6 owners with expected date of resolution by October 26th, fine
committee not in place at this time but president request VP and secretary work
together to develop TEMPLATES for Violation Letters. Dave will give list of owners
with violations to be followed up Dave reports roof repair at 1363 Bunker Way is
more extensive then roofer expected but he is honoring his original quote. Owner
still has not sent 3 names and cost for bathroom ceiling repair to board. Not many
owners volunteered to assist Mike with power washing at this time. Must
consider other options.
DIRECTOR OF POOL AND CLUBHOUSE REPORT
Mike painted pool doors, will monitor effectiveness of paint before ordering new
doors. Must replace several chairs and chaise lounges. Request clarification from
president regarding charge to owners for replacement clubhouse keys, $5.00 is
the current fee.
OLD BUSINESS
Larry has found 2 volunteers for the Fine Committee. Committee requires 0ne
more member before it can officially work with owners. Budget Consultant
submitted information on formation of this committee along with recommended
fees and procedures.
Larry opened discussion on the Proposed Budget for 2020 . Budget Consultant
John Schreiber available to answer questions along with Dave Ferris and Linda
Fentner. Each category under the Revenues and Operating Expenses reviewed.
With explanations behind any changes that were recommended. Consultant
recommends board consider funding Audit. Subject can be presented to owners
at Annual Meeting. Dave request Treasurer document quarterly interests from
reserve account and Budget Committee recommends not accruing funds for
items older then 20 years of age All board members agree with Proposed Budget
to be presented to Owners
Larry reviewed Brown & Brown insurance proposal. Vote called for approval to
hire Brown & Brown. 5 members approve but Linda Fentne does not agree. Linda
identified concerns about some information in the Brown & Brown Insurance
Proposal Joyce also raised similar concerns . Dave made a motion to have Jessica
back to answer these questions and concerns, Dave recommends to approve
Brown & Brown if all questions and concerns answered at meeting. All board
members agree.
NEW BUSINESS
Letter and Proposed 2020 Budget to be mailed out 10 days before Owner’s
Review Meeting on November 7,2019 at 4:30 pm in clubhouse.
