Board Meeting Notes November 14,2022

Before officially starting the meeting, Joyce Morris offered a thank you, from the Board, to Randy Thomson, and other owners, who helped to assemble and reconstruct the damaged pool fence.

Secretary’s Report:

Pearl distributed the completed 10/18/22 Board Notes and the 11/2/22 Emergency Board Meeting Notes to all Directors. The request to add the company’s name who sold us the roof shingles was added to the notes along with additional warranty information. Pearl reviewed the 11/02/22 Emergency Notes with the Board Members, which resulted in a request to change the type of Lanai Doors the Kaiser’s are planning to have installed, as they are considered Hurricane Rated Lanai Doors. Change was made by the Secretary, motion was made to accept both reports after changes made, motion seconded and passed.

 

President’s Report:

Joyce announced that the insurance adjuster had finished assessing association units, inside and outside, along with all the common areas and buildings. The adjuster entered only the units of owners who had signed a permission form for his entry. Completion and submission of these reports may take up to 60 days.

Joyce indicates that she has evaluated the value of hiring a Public Adjuster to assess the community’s damage, only to find out they cannot complete an assessment until the insurance company’s Adjuster submits his report.

 

As a means to be prepared for inadequate funds to help the association pay for the damage caused by Hurricane Ian, through our insurance

claim, Joyce offered details about her search for the best means to pay for these repairs, in hopes the association would not require the owner’s to pay an assessment:

1) She made an application for a Small Business loan, through the Small Business Association (SBA), which is an organization FEMA works with. If we get a loan through this company, they pay off our previous loan.

2) An association might be. able to use funds from their Reserves to pay for damages when dealing with an Emergency Situation. and

3) Looking at the use of our CDs

Joyce reports that our clubhouse has $24,800 deductible. The association must set priorities for use of available funds. We may not be able to replace the clubhouse windows until 2023.

 

Vice President/ Pool Director’s Report:

Solar Cover is expected by this Thursday. The heater/cooler should be installed by Wednesday. Before the pool can be opened, a broken tile must be repaired and wait for it to dry. It appears that the pool should be opened by early next week.

 

Ground’s Report:

Electrician scheduled to come Wednesday to give us an estimate for repairs to be done/or replace the broken pole lights. David indicates that the Board hopes that the existing poles can be repaired and new tops applied. The tops should all be the same size and style. He did state that owners that do not require repair to the light pole will not need to change the style of the top. Mike has capped wires that were exposed. Owners are responsible for repair and or replacement of their damaged pole lights and can hire a different electrician to work on their pole lights. Owners must remember that they need to obtain the completed , appropriate contractor paperwork from the electrician they hire.

Mike reports that the Myerlee entrance sign has a hole on the top and no electricity for use to light the entrance lamp. Dave will have the electrician check the sign.

Dave reports that most debris has been removed. The company responsible for the clean up states that they do 3 separate trips to pick up the debris. Clean up will not happen quickly.

The community lost 33 trees. Angel is responsible for taking out the stumps, grinding them up, and putting sod down, as needed. David and volunteers are working on getting the small, bent over trees upright, in hopes they will “survive”.

The SinkHole @ 1291 MCCB, was assessed by a company that deals with this problem. Because sewer pipes run through this area, a camera was put down in the hole to check for any breaks or leakage, thankfully, nothing found. Landscaper hired to fill the hole with dirt. The specialist reports that SinkHoles are not common in this area.

 

Unit Director’s Report:

Lisa reports that we are missing 173 Window Shutters. Shutters are sold in sets, at a cost of $48.00/set.

Lisa made a motion to accept Sable Construction and Roofing’s estimate of $2,500 to repair shingles, motion seconded, no discussion, motion carried.

The community has less than 50% of the soffits and fascia needing repairs. The price for these repairs were discussed with Sable, who agreed to submit a “not to exceed”estimate within the next few days. Mike is available to cover the large openings, with plastic but owners must submit a Maintenance Request before it can be done.

 

Maintenance Report:

Mike talked to the manager at the cart repair shop who feels our cart can be repaired although it was in a flooded area, waiting to be repaired, before the Hurricane. Mike requests that the Board look into buying a new utility cart and sell the current cart. Discussion took place about the type of cart to buy and best place to buy/ find a utility cart. Joyce requests that Dave Ferris and Larry Wynberg work with Mike in finding an appropriate utility cart.

Joyce reports that she plans to do a reevaluation of funds left from the 2022 budget. She reminds owners that if any problem shows up to be sure to complete a Maintenance Form. If appropriate, the problem will be reported to the association’s insurance company.
