BOARD MEETING NOTES. FEBRUARY 21, 2023
ATTENDANCE:
President: Joyce Morris
VicePresident: Noreen Bailey
Treasurer: Linda Fentner
Secretary: Pearl Prevoir
Ground’s Director: Dave Ferris
Unit Director: Lisa Kaiser
Pool/Clubhouse Director: Cynthia McComb
Prior to starting the Board Meeting, President Morris appointed the individuals who will form the Impartial Committee responsible for the Annual Meeting registration, quorum calculations, and the ballot and proxy verification.The Annual Meeting is scheduled for March 6,2023.
Maintenance Report:
Mike reports that he and Joyce followed up on the status of repair for both the drive and the golf cart. Contacts for each company state that they are experiencing difficulties obtaining the parts needed to complete the repairs. Contacts were not able to commit to a completion date.
Two Cameras were installed at the dumpster area by Mike, and a new company was hired to certify all fire extinguishers. The Fire Marshall was notified.
Mike reports that the Ducks are back in the pool area so he installed the duck deterrent sprinkler, which is motion sensitive. President Morris recommends he buy and Install another sprinkler at the pool.
Meeting called to order by President Morris at 1:20 PM.
Secretary’s Report
The secretary sent the 1/24/23 Board Meeting Notes to all Board members for review. The appropriate changes were made,question was asked if there are any other corrections, there being none, the report was accepted as corrected.
Pearl reports that Julia Tepper updated the Owner’s Directory, which will be distributed at a later date.
Treasurer’s Report
Linda reviewed the monthly financials. She reports that the association received it’s first check of $92,263.22, toward our insurance claim.
President’s Report:
Joyce reports the association is able to spend the money received from the insurance company. She clarified, with our insurance agent, that we can spend this money, although we disagree with the amount paid so plan to pursue additional claim benefits. The President recommends using some of these funds to have the Soffits and Fascia repaired. Dave Ferris made a motion to go forth with these repairs now, seconded by Lisa,a discussion took place, then the motion was carried.The repairs will be done by Sabal Construction.
Due to the questions raised, by President Morris, about our claim payment, the insurance company has hired an engineer who will schedule visits to each unit in Myerlee Circle. He will be responsible for submitting a report of his findings after checking windows, garage doors and roofs.
Joyce is gathering information about the use of a Public Adjuster to assist with our claim dispute.
Joyce reviewed the requirements for a Fine’s committee and discussed concerns about side street parking.
Vice President’s Report
Noreen reports she received the invoice for the replacement of the breaker box which she submitted. As the Vice President , she is now working on the association’s insurance.
Unit Director
Lisa requests use of metal gutter guards versus plastic as they are more durable. She indicates that she will check the cost of these items before buying more boxes of gutter guards.The window sill repair at 6911 was completed and the replacement window should be installed within the next 2 weeks.
Ground’s Director
Dave reports he needs to contact several other electricians to check repairs of our pole lights in order to submit an invoice for the board’s review. The original vender still has not submitted an invoice, even after multiple calls made by Dave.
Dave has not been able to obtain the identification of the Individual using our dumpster. Hopefully, our new cameras will identify anyone who abuses the use of our dumpsters. Phil Hoffman is working with Dave to locate reasonably priced, double sided, replacement street signs.
Because our irrigation system is not working currently, we cannot do any planting .
Pool/Clubhouse Report
Cynthia reports new railing covers were installed @ the pool.
She thanks the Men’s Club for the donation to buy 2 outdoor flower pots for the front of the clubhouse. Maintenance man installed pool sprinklers.
Mike put up a large, new bulletin board in the clubhouse, for owners to put up signs about items for sale, interesting articles, and activities that they want to share with their neighbors.
The Board did not identify any new business. Although we had an owner request the opportunity to present his concerns about smoking in the community, he was unable to attend.
Lisa Kaiser made the motion to adjourn @ 2:35 PM, seconded by Dave Ferris
