Board Meeting Minutes.                                  February 16, 2020

 

Board meeting called to order by President Wynberg @ 1:00 PM. All board members in attendance.

 

MAINTENANCE REPORT:

Palm rat problem seems under control @ this time.

Started working on the gutters,  no problems found @ this time.

Mike suggests board let owners know he will be on the roofs due to the gutter cleanings. At a later date, the board will review the appropriate manner to recognize Mike for working additional hours, either overtime pay or time off instead of payment.

 

SECRETARY’S REPORT:

The January 19th Board Minutes accepted as read. Larry explained that we would not replace pool bathroom floors with tile but water resistant flooring.

 

TREASURER’S REPORT:

Financial report accepted as read

 

VICE PRESIDENT’S RPORT:

Joyce reports that the 2021 Budget of $18, 805 is more than we budgeted for due to an increase of Property Insurance by 18% instead of 15% and the deductible changed to 3%. Flood insurance also changed due to legal requirements.

The Vice President reviewed the role and responsibilities of the newly appointed Legal Review Committee. The appointed members are, Committee Chairman Joyce Morris, other members are Linda Fentner, Ron McManus and Pearl Prevoir. All board members approved the organization of this new committee and the current members.

Joyce reviewed COVID 19 regulations currently in place. She identified and discussed what regulations and information was  used to develop the members responsibilities to notify the Board when or if they are determined to be COVID positive. Lisa Kaiser raised concerns that her right to privacy was not being respected. Joyce identified that the board is following the HIPAA guidelines and does not expect members to divulge their medical status if so chooses.

 

PRESIDENT’S REPORT:

Larry reports he received several unsigned complaints which he cannot address as the individual(s) were not present at the meeting. He requests that owners sign their complaints so the Board can address their concerns.

The President presented request to replace the poorly functioning communication system. All board members in agreement and stipulates the new system should not be more then $500.00.

DIRECTOR’S REPORTS:

 

Clubhouse/ Pool Director: Kim reports the Painting Group has hung some of their paintings in the clubhouse and will rotate pictures every couple of months.

UNIT DIRECTOR:

Parking area @ the maintenance shed will be striped by end of March, pending any other needs that must take precedence. Dave will address some suggestions regarding recent concerns voiced by some owners @ next board meeting.

GROUNDS DIRECTOR: Sandy reports frequent problems with irrigation system which slows down the landscaper’s ability to plant and perform other needed procedures. Landscaper plans to perform pest control and weeding the first week of March. He will break ground for the Memorial Garden after completion of landscape chores. He will include redoing the plants at the Myerlee Circle entrance sign.

OLD BUSINESS:

2021 Directories distributed to owners by Julia Tepper andLiz McGuire

Collection box for old directories is in front of the clubhouse. We now have 2 volunteers for the Fines Committee

Noreen Bailey of the Welcome Committee reports distributing 5 information bags to new owners.
