Board Notes August 15, 2023

 

Meeting called to order by President Joyce Morris at 1:30 PM. She asked the VP if we have a quorum of Board members. VP answered a quorum is met as 6 of seven members are present with Pearl absent.

Joyce also asked the VP if we have documented proof of the Notice of Meeting mailed on or before July 30,2023. VP answered Yes.

Joyce asked if all Board members had read over the

Board notes from last meeting. All said yes. Board there were no changes per Noreen’s conversation with Pearl via phone. Accepted as read.

 

Joyce stated she had some housekeeping items to take care of. One regarding the painting of our units. This cannot take place without it being put before all homeowners. The Board cannot make that decision on its own. Item 2 there was some damage from a golf cart at the front door. She asked that golf carts not be parked so close to the clubhouse doors.

 

There has been a reduction in our assessment due to the cost of the windows to replace them. Cynthia to talk about the 3 quotes for windows. 41000, 34000, 37000.

She contacted Home Depot because she is having them replace her windows. They have quoted 20,785 for 12 windows and 25,000 for all 15 windows in the clubhouse. Running a special this month of 15% off plus the Manufacturer is also giving a discount in the month of August. The contractor will also fix any damage if that happens.

Tom Kaiser motion to accept Home Depot quote for $25,000 to replace all 15 windows in the clubhouse. Seconded by Noreen Bailey. David questioned who the installers will be, and Cynthia cleared his question by stating the installers only work for Home Depot. Vote was all were in favor. Motion carried.

 

Joyce reviewed the Assessment for the homeowners. Including the reason why we are not going to take the SBA loan. Planning to pay off Edison loan come November with our CDs. We will have no loan out there at all. Assessment is to pay back the monies used out of Reserves and finish repair damage from Hurricane Ian only.

(I think the paperwork she handed out to homeowners should be inserted in these Notes instead of writing all she said).

She also noted that the dues will be going up. Many of our normal expenses are going up. FPL over 1,000, trash hauling etc. These things will be up to the budget committee to figure out.

 

David concern about insurance wants to postpone until October. Joyce tells him, this assessment is strictly to cover Hurricane Ian damage.

Motion by VP Noreen as follows:

After this review, I make a motion to adopt a Board Resolution authorizing a special assignment, for the purpose of covering the repairs caused by damage from Hurricane Ian, in the amount $1093.00 from each Homeowner to be due and payable on or before October 31, 2023.

Motion seconded by Tom Kaiser

Motion carried with 5 yes votes and David abstaining.

 

Noreen made a motion to adjourn the meeting and seconded by Cynthia.
